# AI summaries in SuperOffice for Teams

If your organization has [AI Labs][1] activated, you can ask SuperOffice for Teams to generate a summary of the conversation – so you (or a colleague) can quickly understand the outcome without reading every message.

1. Click the checkbox **Generate Summary** in the archive window.
1. The **Create** button changes to **Preview** so you can review the summary first.
1. Edit the summary if needed.
1. Click **Create** to save.

The summary is added to the **Description** field of the SuperOffice document. The full chat is still stored in the attached .EML file.

Summaries currently use neutral, professional business language and are returned as a single block of text.

> If **Generate Summary** is unavailable, AI Labs is not activated for your SuperOffice tenant. Contact your SuperOffice administrator.

# Archive a Teams conversation

Archiving works in chats and standard channels – refer to the [compatibility overview][1] to see exactly what's supported where. You can start archiving in two ways. Both open the same archive window, where you choose your scope and fill in the details needed to save the content to the correct place in SuperOffice.

## Option A – Start from a specific message

Use this when you want to capture a specific point in the conversation – a key decision, a handover, or (in a standard channel) a message with a file.

1. Find the message in the chat or channel.
1. Right-click the message (or select the **...** menu).
1. Choose **SuperOffice for Teams**.
1. Click **Save Chat**.
1. Choose your scope: **This message**, **This and later**, or **Custom**.
1. Fill in the details to connect the archive to the correct record in SuperOffice (see below).
1. Click **Create**.

## Option B – Start from the compose bar

Use this when you want to archive a range of messages – like Today, Yesterday, or the Last 7 days.

1. Open the chat or channel.
1. Click the **+** (apps) icon in the compose area.
1. Search for and select **SuperOffice for Teams**.
1. Click **Save Chat** in the pop-up.
1. Pick a date range or choose **Custom** to select start and end dates.
1. Fill in the details to connect the archive to the correct record in SuperOffice (see below).
1. Click **Create**.

> [!NOTE]
> Starting apps from the compose bar is blocked in direct chats with external users. You can still launch SuperOffice for Teams from the message menu if both users are managed by an organization.

## Choosing what to include

Before you save, you can decide what gets included.

* **Include deleted message notices:** Adds a placeholder line where messages were removed. The original deleted content is not retrieved.
* **Include emoji reactions:** Captures reactions like thumbs up or heart alongside messages. Custom emojis are not supported.
* **Include files (attach to .EML):** Attaches files from the selected date range to the email file. This option is only available in standard channels.

## Choosing where it goes in SuperOffice

Whether you're saving a chat or a file, you'll fill in a few details so the archive lands in the correct place.

* **Title:** Prefilled based on your selection, but you can change it.
* **Contact or Company:** SuperOffice will automatically pre-populate this field if it can match someone from the conversation to a contact in SuperOffice. If no match is found, pick a company or contact manually. You'll see recently used entries from SuperOffice, and you can search by name. Click the **Chat** icon to pick someone from the Teams conversation who also exists in SuperOffice.
* **Sale (optional):** Link the message or file to a sale.
* **Project (optional):** Link the message or file to a project.
* **Document template (Type):** Choose the document template your organization has set up for Teams conversations or files.
* **Completed:** Check this to mark the activity as completed in SuperOffice. If unchecked, it appears in your open activities.

When you're ready, click **Create**. After a successful save, SuperOffice for Teams shows an **Open in SuperOffice** link so you can jump straight to the new document.

# Save a file from a Teams channel

When you're in a standard channel, you can also save a single file. How the file option becomes available depends on how you started the archive:

* **Started from a message:** The Save File button is enabled if that specific message contains a file.
* **Started from the compose bar:** The Save File button is enabled if the channel contains any files. Use the file picker to select which files to archive.

The file picker lists files found based on the above, each with a status icon:

* **Green check:** Already archived to SuperOffice. Shows when and by whom.
* **File icon:** Not yet archived. Ready to save.
* **Red warning:** File is too large to archive.


The file picker is single-select – you can choose one file at a time. Saving a file with the same name always creates a new document in SuperOffice (overwriting is not supported yet).

There is a file size limit of 94 MB.

# Deploy SuperOffice for Teams

These steps are done once per tenant by a Microsoft 365 or SuperOffice administrator.

## Step 1 – Register your tenant

Before users can archive content to SuperOffice, an administrator must register the customer tenant in the SuperOffice for Teams portal. This step happens outside Teams and creates the tenant record the app needs.

To register the tenant:

1. Go to the SuperOffice for Teams portal: [https://superofficeforteams.superofficeapps.com][1]
1. Sign in with your SuperOffice account.
1. Select the tenant you want to register.
1. Accept the terms and privacy policy.
1. Save the settings.

After saving, you will be redirected to the main page. Scroll down to download the Teams app package (.zip file). You will need this file in the next step when uploading the app in the Teams admin center during the pilot.

## Step 2 – Upload the app in the Teams admin center

During the pilot, the administrator uploads the SuperOffice for Teams app package as a .zip file in the Teams admin center. Once SuperOffice for Teams is published in Microsoft AppSource and the Teams app store, this manual upload step will no longer be needed.

To upload the app during the pilot:

1. Go to the Teams admin center: [https://admin.teams.microsoft.com/policies/manage-apps -screenshot][2]
1. Click **Actions** in the top right corner.
1. Select **Upload new app**.
1. Upload the SuperOffice for Teams app package (.zip file).

## Step 3 – Grant admin consent

After uploading the app, the administrator must grant admin consent in the Teams admin center. This allows SuperOffice for Teams to request the Microsoft permissions it needs to work on behalf of the signed-in user.

To grant admin consent:

1. Go to the Teams admin center.
1. Open **Teams apps > Manage apps**.
1. Find and open **SuperOffice for Teams**.
1. Go to the **Permissions** tab.
1. Click the **Grant admin consent** link in the information message.
1. Follow the Microsoft consent flow to approve the requested permissions.

> [!NOTE]
> If admin consent is not granted at this stage, each individual user will need to request consent from the administrator when they first try to sign in. Granting consent during setup helps avoid extra approval steps for users later.

## Step 4 (optional) – Push the app to users

After completing steps 1 through 3, users can find and install SuperOffice for Teams themselves from the Teams app store. During the pilot, they will find it under **Built for your org**. After publication, they will be able to find it through the normal Teams app store flow.

If you want the app to be ready for users without requiring them to install it themselves, you can push it to them through an app setup policy in the Teams admin center.

> [!WARNING]
> When you push SuperOffice for Teams through an app setup policy, Teams sends a proactive welcome message from the SuperOffice for Teams bot to all users included in that policy. This means users may receive an unsolicited Teams message, such as "Hello [name]. Welcome to SuperOffice for Teams!", even if they have not opened the app themselves yet.

To push the app to users:

1. Go to the Teams admin center.
1. Open **Teams apps > Setup policies**.
1. Select an existing policy or create a new one.
1. Add **SuperOffice for Teams** under **Installed apps**.
1. Optional: Pin the app to the app bar so users can find it more easily.
1. Save and apply the policy to the relevant users.

Keep in mind that apps installed this way are managed by the administrator. Users will not be able to remove the app themselves. Only an administrator can uninstall it or remove it from the setup policy.

If you want users to stay in control of their own installation, skip this step and let them install the app themselves from **Built for your org** during the pilot.

# Get SuperOffice for Teams

## Install the app yourself

If your admin has uploaded and approved SuperOffice for Teams but hasn't pushed it to you automatically, you can install it yourself. There are two things to set up: the app for your personal chats (which also gives you the bot for signing in) and the app for any standard channels where you want to archive messages and files.

### Add SuperOffice for Teams from the app store

1. In Teams, click **Apps** in the left sidebar.
1. Find SuperOffice for Teams under **Built for your org** (during the pilot) or by searching in the app store.
1. Click **Open**.
1. A dialog appears asking how you'd like to use the app. You have two options:
* Click **Open** to add the app to your personal scope – this sets up the bot chat and lets you use SuperOffice for Teams in your 1:1 and group chats.
* Select a **channel** from the list below to add the app to that channel – this lets you archive messages and files in that channel.
1. You'll see a welcome message from the bot. From here, you can sign in with SuperOffice for Teams to get started.

You can come back to this dialog at any time to add SuperOffice for Teams to more channels.

### Add SuperOffice for Teams to a channel later

If you've already installed the app for your personal chats and want to add it to a channel afterward:

1. Go to the channel where you want to use SuperOffice for Teams.
1. Click the **+** button or the channel name or in the channel header.
1. Select **Apps** from the menu.
1. Search for SuperOffice for Teams, or click **Get more apps** to find it.
1. Click the **Open** button on the app tile.
1. Select the channel and confirm by clicking the **Go** button.

Once added, SuperOffice for Teams becomes available in the channel you previously selected.

## Already have the app?

If your admin has pushed SuperOffice for Teams to you via a setup policy, you'll find it already installed – either in your app bar on the left or under **Added by your org** in Manage your apps. You don't need to do anything to install it. Just open it and sign in.

## Uninstalling the app

How you remove the app depends on how it was installed.

If you installed it yourself from **Built for your org**, go to **Manage your apps** in Teams, find SuperOffice for Teams, and remove it from the **...** menu.

If the app was pushed by your admin, you won't be able to remove it yourself. Teams will show a message saying you don't have permission. Contact your Microsoft 365 administrator if you have any questions.

## The SuperOffice for Teams bot and user sign-in

SuperOffice for Teams uses a simple bot in Teams to help you sign in and out. It is not a general help chatbot.

### Where to find the bot

After the app is added, you can find SuperOffice for Teams from the **...** menu in the left app rail. Once you click it, you can pin it for easy access (right-click the icon and select **Pin**). Unpinning works the same way.

You can also access the bot chat from your chat list. If you lose your bot chat, start a new conversation by selecting the **New message** icon and typing **teams** in the **To:** box. Then select **SuperOffice for Teams** from your contact list.

As soon as the app is installed, the bot automatically opens a conversation and invites you to get started. You don't need to go looking for it – it comes to you. The welcome message reads:

"Hello [your name]. Welcome to SuperOffice for Teams! You can use the buttons below to log in, or choose Help if you want to know more."

## What the bot does

The bot handles sign-in and sign-out only. It does not answer general "how do I?" questions.

In the bot chat, you will see the available buttons, depending on your sign in status:

* **Sign In:** Starts the SuperOffice sign-in flow.
* **Logout:** Signs you out of SuperOffice for Teams.
* **Help:** Shows a message with a link to the SuperOffice for Teams knowledge base and documentation.

## Signing in

You must be signed in before you can archive anything.

Open **SuperOffice for Teams** from the left rail to start your bot chat, then select **Sign In**.

Signing in is a two-step process:

1. **Sign in with Microsoft** – This gives SuperOffice for Teams permission to read your Teams chats and channels on your behalf via Microsoft Graph. This is separate from your Teams session and is required for the app to function.
1. **Sign in with SuperOffice** – This connects your SuperOffice Online account, so the app knows where to save your archived content.

Once both steps are complete, SuperOffice for Teams remembers your session, so you will not need to sign in again every time.

## When you are not signed in

If you try to use **SuperOffice for Teams** while signed out, you will see a message that you are not signed in.

Select **Open Chat** to go to the **SuperOffice for Teams** bot, then select **Sign In**.
