Supporters
A supporter is a record that refers to someone that has shown support for our organization or campaign. A person should have a Supporter record entered in Staffnet if they have made a donation, offered to volunteer, or wants to be put on our email list.
To access a particular supporter record, follow these steps:
- Click the "Supporters" tab at the top of the page
- Click the "All Supporters" button
* Note: The "All Supporters" page lists 4 pages of the most recent Supporters
- If you can find the supporter you want in this list, click "details" on the right side of that supporter's row to go to their Supporter Profile, or click "edit" to go to their "Edit supporter" page.
- Search for the supporter you want:
* Click the left drop-down menu at the top to select which field you want to search by. "Last Name" is typically the best way to find someone.
- For people with common last names, you can click "Add condition" to narrow your search further, e.g. searching by both last and first name.
- Click the drop-down menu in the middle to select the specificity of your search.
- "contains" will return any record in the chosen field that contains what you searched, and is not case sensitive. e.g., searching last names that contain "Li" will return someone with the last name "Elise."
- "equals" will return any record in the chosen field that is exactly what you search, and IS case sensitive.
- When your search has returned the person you want, click either "details" or "edit" to enter the appropriate page.
Alternatively, if you know the Supporter ID, you can go to their profile by entering it in this URL: https://staffnet2.herokuapp.com/admin/supporters/[supporter_id_number]
To create a new supporter, click the "Supporters" tab at the top and select "New supporter."
Note: The "New supporter" and "Edit supporter" pages are arranged the exact same way, therefore, the instructions here can be applied to editing existing supporters as well.
Additionally, creating a new Supporter in Staffnet will automatically create a new record in Authorize.net for that supporter.
- The only required field to fill out is the "Last name" field. For supporters that did not give a last name, simply put "N/A" in the "Last name" field. For anonymous donors, write "Anonymous" in the "Last name" field.
- The row of buttons at the top of the form will reveal optional fields to fill out additional information.
- "Spouse" will provide a space to write the name of a supporter's spouse
- "Contact" will reveal checkboxes to indicate a supporter's contact restrictions
- "Employer" will provide spaces to fill in a supporter's employment information
- "Volunteer" will provide a drop-down menu to indicate a supporter's volunteer level, as well as a checkbox to indicate a supporter wishes to be "kept informed"
- "Alt email" will provide a space to fill in a secondary email address, e.g., the spouse's email
- "Alt phone" will provide a space to fill in an additional phone number, e.g., a work phone
- "Supporter type" categorizes our supporters and puts them in the appropriate email list.
- It is crucial to make sure that major donors are specified as such under "Supporter types"
- "Source" indicates how we recruited that supporter, e.g., a street or door interaction
